How do I know my Client’s data is safe?

Best Virtual Paralegal takes reasonable steps and uses its best efforts within our means to maintain HIPAA and Financial Compliance. The company uses the latest collaboration tools with extra cybersecurity features, which includes nightly backups to a HIPAA compliant off-site vault.

Our staff scans all incoming and outgoing documents for viruses with AntiVirus, and AntiSpyware applications. In addition, as extra security and safeguard, all outgoing documents are scrubbed and rescanned prior to delivery.

Although the company takes these reasonable precautions to ensure no viruses are present in documents the Company cannot accept responsibility for any loss or damage arising from the use of our services, emails, portals, other devices or documents.

How do Attorney-Clients send us documents?

The company accepts incoming documents via the United State Postal Service, MyCase portal, Dropbox, Microsoft share point, Google Docs, email, encryption tools, fax, and more.

Who has access to my Client’s data?

All of our paralegals whether employees or contractors may have access to every matter. Best Virtual Paralegal does not disclose any information pertaining to any client matter including, but not limited to litigants’ personal information, SSNs, names, and case work product to any unauthorized person or company except under that of its service agreement, a court order by a government agency or subpoena.

All contract paralegals on staff with the company (except for the company’s owner and the owner’s spouse) are subject to a criminal background check before they are contracted by the Company.

Who is an unauthorized person?

Under the terms and conditions of all Best Virtual Paralegal’s service plans, by engaging the services of the Company clients are authorizing us to employ other virtual assistant/paralegals, contracted professionals, which we deem necessary to perform the services Client has requested.  Therefore, an unauthorized person is any person (paralegals) or paralegal entity who is not contracted or employed by the Best Virtual Paralegal to assist in the rending of its services.

This means if a client sends an assignment or a request to us, the client should know that all our paralegals, regardless of their locations may have access to the file and from time to time may be consulted with or may help manage different aspects of the case/matter.

How much do services cost?

It is impossible for us to determine cost or a rate for a particular service without having ample time and opportunity to review, examine, and evaluate the matter/request and the resources needed to the meet the complexity of each matter/assignment. What are Best Virtual Paralegal’s rates?

The Company offers three different types of fee structures.

  • Flat Fee
  • Hourly
  • Revolving monthly support

The revolving monthly support is not available for our bankruptcy services. Other restrictions may apply. Clients interested in this service plan should schedule a video conference with Holly for more information.

Does Best Virtual Paralegal need a deposit?

Yes, the company currently requires a nominal nonrefundable deposit for all first-time flat fee and hourly clients to establish services.  The nonrefundable deposit is required to be paid in full prior to any work being performed by our paralegals.  The amount of the deposit required depend on the services requested.

Does Best Virtual Paralegal accept credit cards?

Yes, the company has its own merchant account with a leading provider.  Therefore, the company accepts the following payment types:

  • Echeck for payment made by business or firm checks;
  • All debit cards with a MasterCard or Visa logo
  • MasterCard
  • Visa
  • American Express
  • Discover

The company cannot accept payments from litigates, or the parties our attorney-clients represent in court.

Can Best Virtual Paralegal, LLC fill out forms for pro se litigants?

No, Best Virtual Paralegal’s services are for licensed practicing attorneys only. If you have come to our site or services with a complex legal issue, aid with any court form, or any document, which you intend to file in a court of law, you should seek the advice of an attorney or law firm of your own choosing.

Best Virtual Paralegal is not a law firm and can NOT give legal advice or assistance to non-lawyers with legal document preparation, legal research, or case development.

What is the difference between Best Virtual Paralegal LLC and the other Virtual Paralegal companies or Freelancers out there?

Best Virtual Paralegal LLC has an open-door policy. Once an attorney or law firm signs up for services, they can send us an assignment at any time for completion.  Attorney-Clients are not required to call our offices to order services. If the law firm’s account is in good standing and our standard turnaround time meets the needs of the assignment, the law firm can merely send the task to our office for processing. The is no three weeks to wait or other annoying procedures.

If you are an active client in good standing, and you do not require same day service, you may deliver any new assignments under the terms of your service plan or action plan.  This may be specific research services, trial preparation, and trial assistance services, which requires traveling.  If an assignment requires us to travel, or you are requesting emergency panic button same-day services, you must contact us to discuss your deadline needs.

We allow our Attorney-Clients to send us assignments using a variety of sharing methods – MY CASE is optional for document sharing. You still must log into our client portal to review invoices, print invoices, and make payments on your account.

If we cannot help you, we will find and hire paralegal contractors that can! We also buy all of our own tools and software.

How fast can we get started?

Once, we’ve had a chat about your needs, and you’ve decided to go ahead, we can generally establish your account and assign your Virtual Paralegal to your firm within the same day to 48 business hours from the time we receive your executed service agreement.

How can I share documents with my assigned Virtual Paralegal?

In addition to the MyCase portal our paralegals can share documents with clients via secure encrypted email, G-Suites, Dropbox, fax, United States Postal Services, Fedex, Microsoft 365, Sharepoint and more.
